The Department of Radiation Oncology at Vanderbilt University Medical Center is opening a national search for a Department Administrator. We seek a strong and motivated individual with leadership and business experience to assume senior administrative authority in the Department for operations and strategic direction . The Department currently delivers radiation to approximately 150 patients per day at four centers with approximately 80 staff . These treatments include inpatients , pediatric patients , radiosurgery , brachytherapy and intraoperative radiation . The Department is also home to both medical residency and physics graduate programs .

Responsibilities for this position include implementation of systems and initiatives influencing: operational management, strategic planning, business development, marketing, philanthropy, human resource management, sponsored research management, information systems design and delivery, and professional and ethical responsibilities on behalf of the Chair of the Department. The successful candidate will work very closely with our new Chair of Radiation Oncology, internationally recognized for her impact in clinical trials, mentorship and research. The Department Administrator will also work collaboratively with other Radiation Oncology and Vanderbilt Ingram Cancer Center leadership in developing new initiatives to achieve higher levels of performance throughout the Department and Cancer Center.
Prior senior manager leadership in an outpatient academic setting is required. Experience in radiation oncology is preferred.
Directs department management in all matters concerning site/division administration, human resources, clinical practice management, facilities and space, education programs, business and finance, research administration, quality and safe patient care, patient satisfaction and information technology;
Manages and oversees the department's finances and budget and provides accurate, timely reports and forecasts;
Responsible for strategizing, developing, planning and, where appropriate, implementing administrative structures and funding streams to support department initiatives;
Responsible for the development and implementation of systems influencing financial planning, personnel and operations management and, in conjunction with clinical leadership, quality performance programs;
Provide structured analysis, strategic thinking and project/relationship management as it relates to the development and implementation of growth opportunities and service line development;
Collects and evaluates metrics related to institutional, departmental and individual staff goals;
Utilizes metric data to update policies and protocols to implement changes to improve department workflow as well as quality and safety;
Participates in the discussion of acquiring new technologies and their appropriate deployment ;
Supervises the management of grants, contracts and service agreements from proposal development to closeout or final billing;
Collaborates and coordinates with central university offices for grant administration and financial management;
Promotes collaboration between the radiation oncology team and ancillary departments/centers;
For both internal and external stakeholders, this position often assumes the face of the Chair's office, and for this reason, the individual in this role must conduct him / herself in a professional business manner at all times, while acting as both a resource and representative of the Chair's office;
Makes sure follow-up is completed for the Chair and Vice Chairs to insure sound operations;
Supervises and manages the department's business and ancillary staff;
Defines qualifications and performance expectations for all staff positions; ensure staff competencies are maintained, and
Maintains clear and consistent communication and leadership with motivational spirit.
