Duties of a Office Assistant 1 in the Communication department may include the following but are not limited to: Answer calls within the first ring. Place yourself on unavailable whenever you cannot answer the next incoming call. Properly greet and identify yourself by first name (as described in procedures) when answering each and every call. Interact with each caller in a timely, courteous and professional manner, regardless of the emotional state and conduct of the caller. Search by multiple names, titles and categories to identify the proper person, department, procedure and on call schedule. Overhead page only for medical emergencies. Execute all Codes and Emergencies according to our system's procedures. Swap out pagers, update paper status and schedules as requested. To ensure accuracy and eliminate call backs, complete each transaction while the caller remains on the phone with you. Open and follow all notes in our Directory, Procedures, and On-Call Schedules before executing each request. To prevent wrong connections, read back to caller the first name, last name and department of the person you are about to connect to. Assist in training all new personnel. Maintain satifsfactory attendance. Perform other clerical duties as necessary. Qualifications
Required Qualifications: MUST have taken and passed the specific job related Civil Service exam and be reachable on the appropriate Civil Service list. Stony Brook Medicine is a smoke free environment. Smoking is strictly prohibited anywhere on campus, including parking lots and outdoor areas on the premises. All Hospital positions are subject to changes in pass days and shifts as necessary. This position may require the wearing of respiratory protection, which may prohibit the wearing of facial hair. The selected candidate must successfully clear a background investigation. Prior to start date, the selected candidate must meet the following requirements: Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services (The hiring department will be responsible for any fee incurred for examination), submit (3) written references, and provide a copy of any required New York State license(s)/certificate(s).
