Required Qualifications (as evidenced by an attached resume):
Associate's Degree (foreign equivalent or higher degree). Two (2) years of full time administrative experience.
Bachelor's Degree (foreign equivalent or higher). Prior experience in a dental office or clinic. Bi-Lingual in Spanish.
Brief Description Duties:
The incumbent will coordinate the daily activities in the Pre-doctoral Clinic.
Implementation of policies and procedures dictated by the Program Director.
Ensure that the Pre-Doctoral student's are in compliance with directives, i.e. monitoring attendance, productivity, time management, infection control procedures, etc..
Periodically review the charts of patients assigned to each student to ensure that the progress notes reflect treatment in progress, coincides with an approved treatment plan, and checking for missing or incomplete entires.
Ensure maintenance of patient records in an organized manner; supervise the assigning to ensure a comprehensive mix of cases which are consistent with the educational goals as dictated by the discpline directors.
Supervise the scheduling of appointments for screening, emergency and regular visits for all program participants- including instructing students on the use of computerized scheduling reviewing their daily schedule of appointments to ensure optimum use of clinic time.
Oversee data entry to ensure that it is completed, accurate including paitent pool assignments and transfers, patient registration, treatment, and student clinical grades and source documents are well -organized.
Compile information for inclusion in various reports. i.e. advancement for graduation, statical data for improvement of clinical operation, and financial information.
Financial /Instructional Responsibilities:
Assist the Pre-Doctoral students with problem patient payment cases and ensure that laboratory work is not started or completed until appropriate payments have been made; assist the students with setting up payment plans for their patients and ensure that the plans are met as the treatment progresses towards completion; review monthly reports of patient accounts balances and work with students to assist with collecting monies for completed treatment; instruct the students on how to complete third party claim forms; monitor patients for Medicaid eligibility and threshold visits to ensure that requests to exceed the limitations are submitted in a timely manner; to ensure prompt payment etc.
Field inquires, concerns, complaints, and billing issues.
Type memos and e-mail correspondence.
Liaison for Assistant Dean for Clinical Operations to ensure that policies and procedures set forth by the administration are enforced.
Recommend for hire, train, evaluate and supervise the daily work assignments of one clerical support person for the Pre-Doctoral Program appointmen.
Prepare annual performance evaluations and maintain attendance records for staff.
This is a full time appointment. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA.
