Required Qualifications: (As evidenced by an attached resume)
High School Diploma/GED (foreign equivalent or higher). Four years (4) of progressively responsible full-time administrative experience. Working knowledge of various computer programs such as MicroSoft Word and Excel.
Associate's Degree (foreign equivalent or higher). Previous administrative experience in an academic setting including scheduling conferences and securing equipment. Familiarity with the preparation of research grants and annual reports. Previous experience with ERAS (Electronic Residency Application Service), the New Innovations Evaluation program and the Resident Match process.
Brief Description of Duties:
Under the direction of the Division Chief of General Medicine/Geriatric Medicine, Geriatric Medicine Fellowship Director and Geriatric Medicine Residency Faculty Coordinator the Administrative Assistant II will perform the following duties. Ideal candidate will possess excellent communication skills and have strict attention to detail with the ability to work independently or as part of a team.
Coordinate the division head's schedule, divisional meetings and conferences, including arrangement of rooms, posting announcements and securing equipment. Route incoming calls, prioritize mail, prepare correspondence and divisional reports. Maintain files and databases. Maintain adequate inventory of office supplies.
Assist with grant preparation and submission, prepare expense reports/reimbursement requests particularly for Oberleder fund.
Set up ERAS (Electronic Application System) each fiscal year and retrieve the applications, verify credentials of new fellows, create and maintain files. Coordinate availability of the faculty and fellows and schedule interviews for the new Geriatric Fellowship candidates.
Coordinate the orientation process for new fellows, i.e., setting up learner portfolios, assist with the preparation of curricular materials to faculty and fellows and schedule summary review meetings for the Fellowship Director.
Coordinate administrative aspects of the fellows' schedules, including correspondence with site coordinators at Gurwin, Northport DVAMC and LISVH.
Assist with the preparation of fellowship performance reviews and schedule the monthly conferences including the Geriatric Journal Club and record minutes. Assist with the preparation of the geriatric fellowship rotation schedule including scheduling home visits and office visits.
Other duties as assigned.
