At Stony Brook Medicine, a TH Instructional Support Assistant/Radiology Inventory Clerk is a valuable member of our team, who maintains appropriate levels of inventory based on the current usage in Special Procedure and the Radiology Department. Order and receive supplies as needed using the current Stony Brook Medicine computer systems. Maintain stockrooms in a neat and orderly manner. Qualified candidates will demonstrate superior patient care and possess outstanding communication skills while adhering to our high standard of excellence.
Duties of a THInstructional Support Assistant/Radiology Inventory Clerkin the Radiology Department may include the following but are not limited to:
Maintain appropriate levels of inventory, based on current usage. Order and receive supplies as needed. Perform regular inventory counts for the Radiology Department.
Maintains general stockroom: Conduct monthly inventory of designated Special Procedure items. Identify items to be reordered, based off the QSIGHT low par alert page or through visual inspection.
Utilize reports, compiled with Crystal Reports and/or QSIGHT at monthly intervals to determine product usage. Modify inventory levels based on reports.
Add new products to QSIGHT as needed and work with vendors to identify items. Research and create justification to submit to purchasing as requested for products. Work with purchasing to review and/or revise contracts for items and/or vendors. Monitor par levels of items to adjust as needed per volume shift.
Attend Materials Management Committee monthly meetings along with Assistant Director to present new Items.
Perform clerical duties, such as answering calls and messaging, as needed.
Prepares excel spreadsheets to submit to Lawson Support for the maintenance of the radiology number Database. Submit change order request forms to Lawson Support, for items that have had a change in catalog number or description.
Prepares excel spreadsheets to submit to Finance for the request of files and maintain files for products with finance.
Receive items and add them to QSIGHT. Place all items neatly in the storeroom and bring empty boxes to the appropriate housekeeping closet, in order to keep hallways clear. Supply orders, issued from the PICC team, should be placed within one day of request.
Stock Special Procedure rooms with the necessary items that have been received or the ones reaching a low par. Organize products in inventory cabinets utilizing older products first. Move products as needed t o ensure better flow of procedures.
Run a weekly instant add report to correct items added in error. Investigate and remove products that have not been attached to a patient and are no longer available and in stock. Adjust these unknown disposition items on a daily basis.
Perform a weekly audit of the billing interfaces exception report. Collaborates with the Operating Room Staff and any other necessary locations, in the recovery of loaned items and the return of borrowed products.
Run monthly QSIGHT report identify expiring products and remove them from the shelves.
Resolve with Accounts Payable, invoices, credits, encumbrance and receiving issues. Inquire with appropriate vendors about the resolution of these issues. Forward any necessary credits and invoices obtained to the Accounts Payable department. Complete and forward, manual receiving documents to the receiving department.
Reconcile utilization on an annual basis, based on volume increase.
Perform annual recertification training.
Required: Associates Degree. Two (2) years of inventory management experience such as Ordering, Shipping and Receiving and Stock Management. Minimum 1 year experience in a Health Care setting.
In lieu of Associate's Degree Five (5) to Seven (7) years of inventory management experience such as Ordering, Shipping and Receiving and Stock Management. Minimum 1 year experience in a Health Care setting.
This position will remain posted until filled or for 90 days max.
