1.The Medical Secretary II in the Department of Surgery is responsible for providing administrative and clinical secretarial support, which advances the clinical, educational and research missions of the Department and/or Division. 2.The Medical Secretary II in the Department of Surgery is responsible for the daily management of the Division’s surgical depot ensuring accurate, timely scheduling of surgical procedure, while optimizing utilization of the Division’s OR block time. 3.The Medical Secretary II in the Department of Surgery is responsible for accurate Outlook and EPIC calendar management of both clinical and administrative activities at all service sites for assigned providers.
Additional miscellaneous duties and responsibilities, as may be assigned from time to time by employee’s supervisor.
Provide daily administrative and clinical secretarial support to department/division physicians, as well as other personnel as assigned. Coordinate and maintain daily oversight of Outlook and EPIC schedules to ensure an accurate schedule of appointments, including administrative and patient care activities, at all service sites, for assigned personnel. Ensure alignment between Outlook and Epic schedules. Schedule meetings as directed.
Provide daily oversight of the Division’s surgical depot and operating room (OR) block schedules for assigned physicians at all service sites. Ensure timely, accurate scheduling of surgical procedures while optimizing divisional OR block time.
Coordinate and schedule patient care activities including office visits, surgical procedures, hospital admissions and other ancillary healthcare services at all service sites for assigned physicians.
Handle inbound/outbound telephone calls promptly and courteously, utilizing proper telephone etiquette and ensuring an exceptional customer experience. Take accurate messages; triage appropriately. Document conversations in EPIC as per Department/Division standard work.
Accurately prepare and process payment requests, dues and license payments as well as associate reimbursements following Nemours and departmental policies, procedures and processes.
Create, edit and revise correspondence, minutes, presentations, curriculum vitae, journal articles, book chapters, research proposals, etc.
Participate, as appropriate, in the development and distribution of monthly divisional on-call schedules.
Maintain time and leave records for assigned department/division members.
Maintain divisional databases, as directed
Coordinate travel arrangements/itineraries and process conference registrations for assigned personnel
Open, categorize and distribute incoming correspondence, including faxes.
Assist in the support of departmental/divisional projects and initiatives.
